What a Migration Specialist Should Know

about

Filevine

Filevine runs as a:

Browser-Based Application

This means that firm members can typically access Filevine from anywhere with an internet connection. When they need to use Filevine, they enter Filevine credentials into a Filevine website and are able to access all their data from there.

Filevine is used as a:

Immigration Practice Management System

Immigration practice management systems are highly optimized for the needs and workflows of immigration law firms.

Universal Migrator extracts data from Filevine via:

Non-API Connections

Other Notes:

Document Name Humanization

In Filevine's backend, documents often have illegible file names like "1357219.pdf". Universal Migrator will automatically humanize these names to familiar ones, like "Motion for Private Process.pdf", ensuring firm members see the same human-readable names post-migration as they do when viewing documents directly through Filevine.

The following credentials are required:

Admin Filevine Credentials (Dedicated)

The Migration Specialist will need an Administrator username and password into Filevine in order to extract data.
This account must be fully dedicated to the Migration Consultant for the duration of the migration. If anyone else logs into this account, it will interrupt the migration.

The computer used to migrate from Filevine:

Can be located Anywhere

Because data is extracted from Filevine via the internet, the migration can be run from any suitable location.

In order to migrate from Filevine:

The Firm Administrator must complete a User Mapping spreadsheet.

A member of the firm will need to complete a small spreadsheet mapping users from Filevine to users in the new system.

The Firm Administrator must complete a Custom Field Mapping spreadsheet.

Firms migrating from Filevine tend to have tons of unused custom fields. For an optimal migration experience, a member of the firm should identify any unnecessary fields that can be pruned as part of this migration.

Backing up communications from Filevine includes:

Text Messages

When Filevine stores text messages, it keeps key information like to/from/message. This information can be backed up and transferred to compatible systems.

Fax Logs / Summaries

Filevine stores logs/summaries that keep track of different fax messages. This information can be backed up and transferred to other systems.

The following people are required for a migration from Filevine:

Migration Specialist

The Migration Specialist is the person who will be performing this migration. They may be a member of Universal Migrator's own Internal Migration Team or any IT professional who has completed the Universal Consultant training program.

Firm Administrator

The Firm Administrator is a member of the law firm who can serve as a dedicated point of contact, make decisions, and answer any questions the Migration Consultant may have. This person should be readily available and is typically the managing partner or office manager of the firm.

To migrate from Filevine, the Migration Specialist needs:

A Universal Migrator Subscription

Migration tools for Filevine are available to:

IT Professionals with an active Diamond Migration Specialist subscription

IT Professionals with an active Gold Migration Specialist subscription

Special warnings about Filevine

Plan Your Migration Timeline Correctly

With certain vendors, submitting a Notice of Termination/Non-Renewal can prompt a shift in cooperation: some will restrict or revoke export and backup capabilities, or limit the volume of data you're able to download, making migration more difficult.
To guard against this, best practice with any vendor, including Filevine, is to withhold notice until you've been fully live on your new system for at least 30 days. In practice, this means your migration should be complete approximately 45 days before your notice deadline.

preferred partners

When we introduce you to a preferred partner, you know your project will be handled right.

Super Security

Preferred partners exceed industry standards, keeping your data protected in transit and at rest.

Zero Downtime

Your firm never stops working — even during the migration. You'll always have access to all your data.

100% Accuracy

Everything transfers right the first time. If you find an issue within 30 days, partners fix it free.

Hyper Responsive

Preferred partners are at your beck-and-call. Ready to talk at a moment's notice.
