What a Migration Specialist Should Know
about
Documatics
Documatics runs as a:
Desktop-Based Application
This means Documatics typically runs as desktop software within the firm's office on employee PCs, however, some firms may use an IT provider that hosts Documatics on a remote server in a remote datacenter. In this scenario, firm members may RDP, TeamViewer, RemoteApp, or Screen Connect to a remote PC where they access Documatics. In this scenario, some people may say that Documatics runs 'in the cloud', however, it is really just a desktop application running on someone else's equipment.
Documatics is used as a:
Document Management System
Document management systems are primarily concerned with storing documents and the metadata/attributes that are associated with them. They tend to organize documents based on attributes rather than a strict folder hierarchy.
Universal Migrator extracts data from Documatics via:
Database Connections
Documatics uses the following database backend:
Microsoft SQL Server
Other Notes:
Document Name Humanization
In Documatics's backend, documents often have illegible file names like "1357219.pdf". Universal Migrator will automatically humanize these names to familiar ones, like "Motion for Private Process.pdf", ensuring firm members see the same human-readable names post-migration as they do when viewing documents directly through Documatics.
The following credentials are required:
Admin Documatics Credentials
The Migration Specialist will need an Administrator username and password into Documatics in order to extract your data.
The computer used to migrate from Documatics:
Should be located near the Documents
Because Documatics is a desktop-based application, if documents are being transferred, the computer used for the migration should be near the same device that stores the documents.
In order to migrate from Documatics:
The Firm Administrator must complete a User Mapping spreadsheet.
A member of the firm will need to complete a small spreadsheet mapping users from Documatics to users in the new system.
The following people are required for a migration from Documatics:
Migration Specialist
The Migration Specialist is the person who will be performing this migration. They may be a member of Universal Migrator's own Internal Migration Team or any IT professional who has completed the Universal Consultant training program.
Firm Administrator
The Firm Administrator is a member of the law firm who can serve as a dedicated point of contact, make decisions, and answer any questions the Migration Consultant may have. This person should be readily available and is typically the managing partner or office manager of the firm.
To migrate from Documatics, the Migration Specialist needs:
A Universal Migrator Subscription
Documatics is associated with the following other applications:
Documatics & Practice Evolve are Frequently Integrated
Documatics is a document management system that is frequently integrated with Practice Evolve. Firms using Practice Evolve are often not aware they may also be using Documatics.
Migration tools for Documatics are available to:
IT Professionals with an active Diamond Migration Specialist subscription
IT Professionals with an active Gold Migration Specialist subscription
Special warnings about Documatics
Plan Your Migration Timeline Correctly
With certain vendors, submitting a Notice of Termination/Non-Renewal can prompt a shift in cooperation: some will restrict or revoke export and backup capabilities, or limit the volume of data you're able to download, making migration more difficult.
To guard against this, best practice with any vendor, including Documatics, is to withhold notice until you've been fully live on your new system for at least 30 days. In practice, this means your migration should be complete approximately 45 days before your notice deadline.
